This Privacy Policy describes how SeenByLLM ("we", "us") collects, uses, and shares information about you when you use our website and services (collectively, the "Service").
1. Information we collect
We collect information you provide directly to us, including your email address, account credentials, and the brand URLs and prompts you submit for tracking. We also collect technical information such as IP address (hashed for audit purposes), browser type, and pages visited.
For Shopify merchants who enable the SeenByLLM theme extension, we may also collect AI crawler beacon data such as known AI crawler user agents, storefront paths, and referrers. The beacon is designed to ignore ordinary human browser visits and support crawler-readiness reporting.
For enterprise customers who request customer-domain branding, we may also store whitelabel configuration such as brand display names, support contact details, website URLs, color palette choices, verified customer domains, DNS verification state, and uploaded logo or favicon assets needed to serve the branded workspace.
2. How we use information
- To deliver and operate the Service.
- To send transactional emails (account confirmation, password resets, billing notifications).
- To detect, prevent, and address security incidents.
- To improve the Service and develop new features.
- To report when known AI crawler user agents load merchant storefront pages where the theme extension is enabled.
- To operate customer-domain branding, including serving merchant-provided logo and favicon assets from controlled asset storage after validation.
3. Sharing of information
We share information only with:
- Sub-processors required to operate the Service (Fly.io for hosting, Resend for email delivery, OpenRouter and the underlying AI providers for prompt execution, Shopify for app billing and installation flows, and Stripe for standalone website billing).
- Authorities when legally required to comply with a valid legal process.
We do not sell personal information.
4. Data retention and deletion
We retain shop records, project configuration, scan results, LLM responses, billing records, and operational logs while needed to provide the Service. For standalone website accounts, account data is retained for the life of the account plus up to 90 days after cancellation unless a verified deletion request requires earlier deletion.
For Shopify merchants, uninstalling the app revokes local sessions and marks the shop as uninstalled. When Shopify sends the shop/redact webhook, we delete shop-scoped app data from our database, including projects, scans, scan results, prompts, competitors, usage records, billing records, whitelabel settings, customer-domain records, uploaded brand assets, and stored LLM responses, except where retention is required by law, dispute resolution, security, or fraud prevention.
We aim to complete verified deletion requests within 30 days.
5. Your rights
Subject to local law (including GDPR for EU users), you can request access, correction, export, or deletion of your personal information by emailing privacy@seenbyllm.com.
